This Privacy Policy explains how we collect, use, disclose, retain and protect personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, Quebec's Act respecting the protection of personal information in the private sector (Law 25).

3. Scope
This policy applies to personal information collected through:
- Our website robocircuit.pro (including contact forms and cookie technologies)
- Email, phone and in-person communications with prospective and current clients
- Robotics engineering engagements, discovery sessions, control reviews and integration projects
- Newsletter or event registrations, where offered
It does not apply to third-party websites linked from our site. Client operational data, site imagery and robot telemetry processed under contract may be governed by separate data-processing terms in your statement of work.
4. What personal information we collect
4.1 Information you provide
Depending on your interaction with us, we may collect:
- Identity and contact data: name, job title, organization, email address, phone number, mailing address
- Enquiry and project data: messages, technical requirements, hardware descriptions and budget indications submitted through forms or email
- Consent records: timestamps and scope of privacy consents you provide
- Billing data: invoicing contact details and payment references (payment card data is processed by third-party payment processors, not stored by us)
4.2 Information collected automatically
When you visit robocircuit.pro, we may collect:
- Technical data: IP address, browser type, device type, operating system, referring URL
- Usage data: pages viewed, time on page, navigation paths (only where analytics cookies are consented to)
- Cookie and local-storage identifiers as described in our Cookie Policy
4.3 Client and site operational data
During engagements, we may process operational information from your facility — floor layouts, sensor feeds, telemetry logs, calibration datasets and integration documentation. Where this information identifies individuals (for example, incidental appearance in camera calibration imagery), we treat it as personal information and handle it under contract, this policy and applicable Quebec requirements for sensitive contexts.
5. Purposes of collection and legal bases
We collect personal information for purposes that a reasonable person would consider appropriate in the circumstances, including:
- Responding to enquiries: evaluating and responding to control review requests, project proposals and general contact form submissions
- Delivering services: performing discovery, embedded-systems integration, bench testing, deployment supervision and retainer support under contract
- Contract administration: preparing statements of work, invoices, project communications and confidentiality agreements
- Legal and safety compliance: maintaining records required by tax, corporate and safety-documentation obligations
- Website operation and improvement: ensuring site security, diagnosing technical issues and, with consent, analysing aggregated usage patterns
- Marketing communications: sending service updates or event invitations where you have opted in; you may unsubscribe at any time
Under PIPEDA, we rely on your knowledge and consent for collection, use and disclosure, except where the law permits otherwise. Under Quebec Law 25, we assess privacy impacts for projects involving sensitive or large-scale personal information processing and implement privacy-by-default settings on our website forms (for example, consent checkboxes are not pre-ticked).
6. Consent
We obtain meaningful consent before collecting personal information. For website forms, you must actively check the PIPEDA consent box before submission. For cookies, our banner offers Accept all, Reject all or Customise options; optional analytics and preference cookies are disabled until you consent.
You may withdraw consent for non-essential processing by contacting the Privacy Officer. Withdrawal may limit our ability to provide certain services. We will inform you of consequences at the time of withdrawal.
7. Use and disclosure
We use personal information only for the purposes identified above or as otherwise permitted by law. We do not sell personal information.
We may disclose personal information to:
- RoboCircuit personnel and contractors who require access for project delivery, bound by confidentiality obligations
- Service providers: email hosting, cloud storage, analytics (where consented), payment processors and IT security vendors
- Professional advisors: lawyers, accountants and insurers under confidentiality duties
- Regulators, courts or law enforcement when required by applicable law
We require third-party processors to protect personal information through contractual safeguards appropriate to the sensitivity of the data.
8. Cross-border processing
Some service providers may store or process data outside Canada, including in the United States. Where personal information crosses borders, it may be subject to foreign laws and government access requests. We assess vendor privacy practices and use contractual clauses to require protection comparable to PIPEDA expectations. Details of current sub-processors are available on request from the Privacy Officer.
AI and cloud tooling used during robotics engagements may process technical datasets on vendor infrastructure. We configure such tools to minimize personal data exposure and document processing locations in project contracts where relevant.
9. Retention
We retain personal information only as long as necessary to fulfil the purposes for which it was collected:
- Enquiry records: up to twenty-four (24) months after last contact, unless an engagement proceeds
- Client project records: duration of contract plus seven (7) years for tax and legal compliance
- Cookie consent preferences: up to six (6) months in local storage, then re-prompted
- Analytics data: aggregated reports retained up to twenty-six (26) months where analytics cookies are enabled
When retention periods expire, we securely delete or anonymize personal information.
10. Security safeguards
We implement administrative, technical and physical safeguards appropriate to the sensitivity of personal information, including:
- HTTPS encryption for website traffic
- Access controls and least-privilege principles for internal systems
- Confidentiality agreements with personnel and contractors
- Secure disposal procedures for hardware and media containing client data
No method of transmission or storage is completely secure. In the event of a breach of security safeguards posing a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada (and the Commission d'accès à l'information du Québec where required under Law 25) as mandated by law.
11. Individual rights
Under PIPEDA and Quebec privacy law, you have the right to:
- Access: request what personal information we hold about you and how it has been used
- Correction: request correction of inaccurate or incomplete personal information
- Withdrawal of consent: withdraw consent subject to legal and contractual restrictions
- Deletion: request deletion where we have no lawful reason to retain the information
- Portability (Quebec): where applicable under Law 25, receive certain personal information in a structured, commonly used technological format
Submit requests to [email protected]. We may verify your identity before responding. There is no fee for access requests unless the request is manifestly unfounded or excessive.
12. Children
Our services are directed to business and engineering professionals. We do not knowingly collect personal information from individuals under sixteen (16) without parental consent. Contact the Privacy Officer if you believe we have inadvertently collected such information.
13. Cookies and tracking
Our use of cookies and similar technologies is described in our Cookie Policy. You may change cookie preferences at any time by clearing site data and revisiting the cookie banner, or by contacting us.

15. Changes to this policy
We may update this Privacy Policy to reflect legal, technical or operational changes. The "Last updated" date at the top will change accordingly. Material changes will be posted on this page. Continued use of our website after changes constitutes notice of the updated policy; for active client engagements, we will communicate significant changes directly where appropriate.
